Studio Policies & Terms

1. Enrolment

• Enrolment is confirmed upon submission of the Student Registration Form and payment of the applicable fees.
• Lesson slots are reserved exclusively for enrolled students and are subject to availability.

2. Lesson Fees & Deposit

• Lesson fees are payable monthly or termly in advance, depending on the selected course.
• A deposit equivalent to one month of lesson fees is required upon enrolment to secure the student's lesson slot.

• Payment is due by the 7th of each month (for monthly courses) or before the commencement of each term (for term courses).
• Lessons may be suspended if payment remains outstanding after the payment due date until all outstanding fees have been settled.
• The Music Nest reserves the right to revise lesson fees. Parents will be given reasonable notice before any fee adjustments take effect.

3. Lesson Attendance

• Students are encouraged to arrive on time for their scheduled lesson.
• Lessons will end at the scheduled time regardless of late arrival, as subsequent lessons cannot be delayed.
• Parents are encouraged to ensure students arrive prepared with all required books and materials.

4. Student Absence & Make-up Lessons

• If a student is unable to attend a lesson, please notify us via WhatsApp or email as early as possible.
• Make-up lessons are provided at the discretion of The Music Nest and are generally granted only for valid reasons, including:
  • Medical leave supported by a valid Medical Certificate (MC)
  • School-related activities supported by an official letter or notification from the school
  • Other exceptional circumstances approved by the studio
• Where a make-up lesson is approved:
  • It will be arranged subject to teacher and studio availability
  • Make-up lessons should be completed within the validity period advised by the studio
  • Once a make-up lesson has been scheduled, failure to attend will result in the lesson being forfeited
  • Make-up lessons cannot be exchanged for cash, credited, or transferred to another student
• Absences due to holidays, birthdays, family outings, personal commitments, enrichment classes, or other non-essential reasons will generally not qualify for a make-up lesson.

5. Teacher Absence

• If a teacher is unable to conduct a lesson due to illness or unforeseen circumstances, The Music Nest will arrange one of the following:
  • A replacement lesson
  • A suitable substitute teacher (where appropriate)
• Students will not lose paid lessons due to teacher absence.

6. School Calendar

• The Music Nest operates according to its annual School Calendar.
• Each enrolled student is guaranteed 44 lessons per calendar year.
• The School Calendar outlines all teaching weeks, scheduled studio closures, public holiday arrangements, and school breaks. Parents are encouraged to refer to the latest School Calendar when planning holidays and other commitments.

7. Refunds & Transfers

• All fees paid are strictly non-refundable.
• Lesson fees, registration fees, deposits, and all other payments are non-transferable.
• Paid lessons cannot be transferred to another student, family member, or programme unless otherwise approved by The Music Nest.
• Missed lessons that do not qualify for a make-up lesson will not be refunded or credited.
• Unused lessons cannot be exchanged for cash.

8. Withdrawal from Lessons

• Should a student wish to discontinue lessons, one calendar month's written notice is required.
• In the absence of sufficient notice, the deposit paid will be forfeited.

9. Photography & Media

• With the consent of the parent/guardian or adult student, photographs or videos may occasionally be taken during lessons, recitals, workshops, or studio events for educational and promotional purposes, including our website and social media platforms.
• Consent may be withdrawn at any time by notifying The Music Nest in writing.

10. Personal Data Protection (PDPA)

• The Music Nest respects your privacy.
• Personal information collected during registration will be used solely for:
  • Student administration
  • Lesson scheduling
  • Communication
  • Billing and payment
  • Emergency contact
  • Studio operations
• We will not disclose your personal information to third parties except where required by law or with your consent.

11. Studio Etiquette

To provide a safe and enjoyable learning environment, we kindly ask that students and visitors:

• Arrive on time for lessons
• Treat teachers, fellow students, instruments, and studio facilities with care and respect
• Keep mobile phones on silent during lessons
• Consume only plain water inside teaching rooms
• Ensure young children remain under the supervision of their accompanying adult before and after lessons
• Maintain a respectful environment for all

12. Force Majeure

Should lessons be disrupted due to circumstances beyond the reasonable control of The Music Nest (including but not limited to government regulations, public health measures, building closures, or other unforeseen events), the studio reserves the right to provide online lessons or alternative arrangements where reasonably possible.

13. Amendments to Studio Policies

• The Music Nest reserves the right to amend these Studio Policies from time to time.
• Any updates will be published on our website and will take immediate effect.
